📈 Process Optimization

The Challenge

The podcast was already a valuable content channel with a strong host and highly relevant subject matter, but the production process needed more structure to support consistency, audience expectations, and long-term growth. Responsibilities across planning, recording, guest coordination, publishing, and promotion were not yet supported by standardized workflows.

The Reality: The show had excellent content and a recognizable voice, but the operational foundation needed to evolve. Content lacked a reliable publishing cadence, creating challenges for audience expectations, team planning, and long-term content coordination.

My Approach

I built dedicated workflows to support the show's growth and industry position, focusing on predictable, repeatable processes that could scale with the business and reduce reliance on ad-hoc coordination.

1

Established Operational Ownership

Created clear separation between content creation and operational execution, allowing the host to focus on recording and subject matter expertise while production workflows were managed through structured systems.

2

Built a Quarterly Planning Process

Developed content calendars aligned with marketing campaigns and product launches, enabling one quarter of content to be planned and recorded at a time for better preparation, review, and quality control.

3

Created a Team Coordination System

Coordinated 10+ freelancers and contributors across recording, editing, graphics, publishing, and promotion using structured workflows, clear ownership, and defined deliverable timelines.

4

Implemented Quality Control Standards

Created guest vetting guidelines, brand consistency standards, and review processes that helped maintain professional quality while increasing output and supporting a more scalable production model.

Results & Impact

1000+
Episodes Produced
32+
Episodes Per Quarter
25K-35K
Monthly Downloads
1.5K-5K
Video Views Per Episode

The podcast maintained its position as a recognized industry resource while scaling to a consistent production model of 32+ episodes per quarter, 25K-35K monthly downloads, and 1,500-5,000 video views per episode. The show continued to appear on "best contractor podcasts" lists while delivering predictable, high-quality content through repeatable workflows.

Key Achievement: Transformed an ad-hoc production process into a scalable content operation with clear workflows, defined responsibilities, quality standards, and predictable publishing rhythms.

Long-term Impact: The systems I developed helped the show maintain its industry position while freeing leadership to focus on content and business development. These workflows also created a foundation for expanding into video content, social media amplification, and broader content repurposing across channels.
